🌿 24-Hour Cancellation, Rescheduling, and No-Show Policy 🌿

Your time is valuable—and so is ours. Each appointment at Solare Wellness Spa is thoughtfully reserved just for you. When an appointment is canceled, rescheduled, or missed without adequate notice, it prevents another guest from receiving care during that time. To ensure fairness to all guests and our providers, we have a clear 24-hour policy regarding any changes to your appointment.

 

Canceling an Appointment

If you need to cancel, please provide at least 24 hours’ notice. Cancellations made within 24 hours of your appointment time will be charged 100% of the scheduled service.

Rescheduling an Appointment

We understand that plans change. However, rescheduling within 24 hours of your appointment time is considered a late change and will also incur a 100% service fee.

No-Shows

If you do not arrive for your appointment or fail to contact us to cancel, you will be charged 100% of the scheduled service.

We appreciate your understanding and cooperation in honoring this policy. It allows our team to provide the highest level of care, maintain a balanced schedule, and continue offering the peaceful, restorative experience you expect at Solare Wellness Spa.

🌿Class Agreement, Prepayment & Cancellation Policy🌿

All classes at Solare Wellness Spa are prepaid at the time of registration. Your payment secures your spot in a limited-capacity class and allows us to thoughtfully prepare the space and honor our instructors’ time.

You understand and agree to the following Class Cancellation Policy:

• Cancellations made more than 24 hours prior to the class start time are eligible for a full refund.
• Cancellations within 24 hours of the class start time are non-refundable.
• No-shows are considered late cancellations and are non-refundable.
• Rescheduling within 24 hours of the class start time is not permitted and is considered a late cancellation.

This policy ensures fairness to all guests, allows us to maintain a balanced schedule, and preserves the peaceful, restorative experience Solare Wellness Spa is known for.

By registering for a class, you acknowledge that you have read, understand, and agree to this policy.

 

🌿Inclement Weather Policy 🌿​

We want to inform all our valued clients about our expectations regarding snow storms or forecasted inclement weather situations. Our cancellation policy remains in effect during these times, but we have tips to help you decide when these situations arise.

We ask that you keep an eye on the weather forecast when you have an upcoming appointment and reschedule it with at least 24 hours of notice if, in general, you are concerned about driving in the snow. We typically wait to see precisely what the weather will be like before we open or close the spa. 

If you aren’t comfortable waiting to hear whether we will be open and don’t want to risk being charged a fee, we recommend you reschedule your appointment to have peace of mind. REMEMBER: PLEASE GIVE US AT LEAST 24 HOURS OF NOTICE TO AVOID ANY CANCELLATION FEES.

For those of you who are okay waiting for us to make the call as we get closer to the predicted day of inclement weather, feel free to keep your appointment in our schedule. We will close the spa when we are advised that the city of Sioux Falls has closed the streets, and we will not charge cancellation fees for appointments that we reschedule due to the spa closing.

However, if it’s just average South Dakota winter snow, we will stay open, and you can expect to be able to come in for your appointment.

(DISCLAIMER: Please make your decision based on what you feel is safe and cancel if you think it’s not in your best interest to drive on the roads, even if it means you will be charged a fee.)

🌿 Spa Etiquette + Arrival Guidelines🌿

We kindly ask that you arrive 15 minutes prior to your scheduled appointment. This allows time to check in, settle into the space, and ensures your service begins on time.

• Late arrivals of more than 5 minutes will be considered a no-show and will be charged accordingly.
• If you arrive within the 5-minute grace period, your treatment time may be shortened so we may begin and end on time for all scheduled guests.
• Treatment end times will remain as scheduled and cannot be extended to accommodate late arrivals.

These guidelines help us honor the time reserved for you, respect our providers’ schedules, and ensure every guest receives the full experience they have reserved.

🌿 Credit Card On File 🌿

We also reserve the right to require a credit card number for all bookings for our late cancellation, rescheduling, and no-show policy.

🌿Gift Certificates 🌿

To redeem gift certificates for your appointment, they must be presented at checkout. All gift certificates expire after 1 year from the date of purchase.
